What a UK sole trader invoice must include, when to add VAT details, how limited companies differ, and a complete example you can copy.
Important: Tax laws, rates, registration requirements, and invoicing rules can change. This article provides general informational content and should not be considered professional tax, accounting, or legal advice. Check GOV.UK and HMRC guidance, or speak to an accountant, for your situation.
What a sole trader invoice must show
If you are self-employed as a sole trader in the UK, your invoices should clearly include:
- A unique identification number
- Your name (or trading name) and address
- The name and address of the customer you are invoicing
- A clear description of what you are charging for
- The date the goods or services were provided (the supply date)
- The date of the invoice
- The amount being charged
- VAT amount, if applicable
- The total amount owed
If you trade under a business name, show your own name as well, along with an address where documents can be served. This lets customers know exactly who they are dealing with.
Sole trader vs limited company invoices
| Detail | Sole trader | Limited company |
|---|---|---|
| Legal name | Your own name (plus any trading name) | Full registered company name |
| Registration | Not applicable | Company registration number and registered office address |
| Directors' names | Not applicable | Optional, but if any are shown, all must be |
| VAT number | Only if VAT-registered | Only if VAT-registered |
Do you need to charge VAT?
You must register for VAT once your VAT-taxable turnover goes over the registration threshold (check GOV.UK for the current figure). Until you are registered, you must not charge VAT or show a VAT number. Once registered, your invoices become VAT invoices and need additional details such as your VAT registration number, the rate of VAT for each item, and the VAT amount in pounds sterling. Our VAT invoice guide explains those requirements.
You can register voluntarily below the threshold. Whether that makes sense depends on whether your customers are VAT-registered businesses that can reclaim the VAT.

Late payment rights
When you sell to another business, UK law lets you claim statutory interest and fixed compensation on late payments, unless your contract sets a different, substantial remedy. Many sole traders mention this in their terms. Read how to charge late payment fees before you apply it.
Keeping records
As a sole trader you must keep records of your business income and expenses, including copies of invoices, for your Self Assessment tax return. HMRC generally expects records to be kept for at least 5 years after the 31 January submission deadline of the relevant tax year. With Making Tax Digital for Income Tax being phased in for higher-earning sole traders, you may also need compatible software to keep digital records, so check whether it applies to you.
Tips for getting paid
- Agree payment terms before starting. See payment terms explained.
- Invoice on the day you finish the work.
- Write the due date as a date, not just "30 days".
- Put your bank details on every invoice.

Frequently asked questions
Do I need a business bank account as a sole trader?
There is no legal requirement for a sole trader to have a separate business bank account, but it makes bookkeeping and your Self Assessment much easier. Some banks' terms also restrict using a personal account for business transactions, so check yours. Whichever account you use, show the account name, sort code and account number exactly as they appear on every invoice.
Should I put my UTR on my invoices?
No. Your Unique Taxpayer Reference is not required on a sole trader invoice and is best kept private, as it is used for dealing with HMRC. The exception is the Construction Industry Scheme, where contractors ask subcontractors for their UTR to verify them, but that is shared directly with the contractor rather than printed on each invoice.
What is the current VAT registration threshold for sole traders?
At the time of writing, you must register for VAT if your VAT-taxable turnover goes over £90,000 in any rolling 12-month period, or you expect it to in the next 30 days alone. The threshold has been £90,000 since April 2024. It can change at a Budget, so check the current figure on GOV.UK before relying on it.
Does Making Tax Digital change how I invoice as a sole trader?
It does not change what goes on an invoice, but it changes your record keeping. Making Tax Digital for Income Tax applies from April 2026 to sole traders and landlords with qualifying income over £50,000, from April 2027 over £30,000 and from April 2028 over £20,000. If it applies, you must keep digital records and send quarterly updates using compatible software.
How much statutory interest can I claim on a late business payment?
For business-to-business debts, you can usually claim simple interest at 8% above the Bank of England base rate, plus fixed compensation of £40 for debts under £1,000, £70 for £1,000 to £9,999.99, and £100 for £10,000 or more. These rights do not apply to consumers. Check GOV.UK for the base rate that applies to your debt's period.
Can I invoice private individuals as a sole trader?
Yes. The same invoice details apply, but consumers have stronger legal protections than businesses, and statutory late payment interest does not apply to them. Set out your price, payment terms and any deposit clearly before you start, ideally in writing. For some work agreed away from your premises, consumers may also have cancellation rights, so check the Consumer Contracts Regulations guidance.
Do I need to register as self-employed before I send my first invoice?
No, you can invoice before registering, but you must tell HMRC you are self-employed. Generally, you need to register for Self Assessment by 5 October after the end of the tax year in which you started trading. If your gross trading income is £1,000 or less in a tax year, the trading allowance may mean you do not need to register.
Can a UK sole trader invoice in euros or dollars?
Yes, you can invoice in any currency agreed with your client. For your tax records, convert the income to pounds using a reasonable and consistent exchange rate. If you are VAT-registered and charge UK VAT, the VAT amount must also be shown in sterling on the invoice. Show the currency code clearly, such as EUR or USD, to avoid confusion.
Do I have to put my home address on my invoices?
Your invoice should show an address where you can be contacted and where documents can be served, which for many sole traders is their home. If you prefer not to share it, you can use a genuine business address, such as a rented office or a business address service, as long as post sent there reaches you. Check any service's terms before using it.
What payment terms should a UK sole trader use?
Many sole traders use 14 or 30 days, agreed in writing before the work starts. If you invoice a business and no payment date was agreed, the late payment rules generally treat the debt as late 30 days after the customer receives the invoice or the goods or services, whichever is later. Always write the actual due date on the invoice.
