Coaching Invoice Template: Bill Sessions and Packages Clearly

Use this coaching invoice template to bill life coaching sessions, packages and payment plans clearly, with 2026 rate ranges and a worked package example.

Quick answer: A coaching invoice template shows your business details, the client, a unique invoice number and date, the coaching package or session type, the number of sessions and the period covered, the price, any discount, extras such as assessments, tax if you are registered, payments received, the balance due and your payment terms.

Life coaching is sold on trust and commitment, and the invoice is part of that experience. A clear, professional coaching invoice tells the client exactly what they bought, how many sessions remain and when the next payment is due. A vague one leads to awkward conversations about missed sessions and refunds. You can build a polished one in minutes with our free invoice generator.

This guide explains what to include on a life coach invoice, per-session versus package pricing with 2026 rate ranges, payment plans, cancellation policies, tax, and a worked package example with real arithmetic.

What a coaching invoice template should include

Whether you coach individuals, couples or professionals, the essentials are the same:

  • Your details: name or business name, website, email and logo. Add any credential you want to highlight in the footer, but keep it short.
  • Client details: the client's name and email, or a company name if an employer is paying.
  • Invoice number and date: use a running sequence such as COACH-2026-031. Our invoice number generator can suggest a format.
  • Service description: the package name, number of sessions, session length and the period, for example "12 x 60-minute sessions, 1 November 2026 to 31 January 2027".
  • Price and discounts: the package price and any pay-in-full or early-booking discount.
  • Extras: assessments, workbooks, workshops or extra calls.
  • Tax: only if you are registered or your service is taxable.
  • Payments: amounts already received, the balance and the due date.
  • Policies: a one-line reminder of your cancellation and refund terms.

If an employer or organisation is paying, they may ask for a purchase order number or a statement of work. Add the reference to the invoice so their accounts team can match it.

Life coach pricing in 2026: sessions and packages

Coaching is a growing profession. The International Coaching Federation's 2025 Global Coaching Study, based on more than 10,000 survey responses from 127 countries, estimates around 123,000 coach practitioners worldwide and global coaching revenue of about $5.34 billion. See the ICF Global Coaching Study for the full findings.

Fees vary widely. The ranges below come from published 2026 coaching pricing guides and are rough illustrations, not a rate card. Your niche, credentials, results and market matter more than any average.

Why many coaches sell packages

Packages encourage clients to commit to a process rather than dipping in and out, and they give you predictable income. They also make invoicing simpler: one invoice per package or per instalment instead of one per session. If you sell ongoing access for a monthly fee, our guide to retainer invoices explains how to bill it, and the recurring invoices guide covers monthly billing routines.

How to invoice coaching packages and payment plans

A simple, consistent process makes package billing easy:

  1. Agree the package in writing: number of sessions, length, period, price, payment schedule and what happens to unused or missed sessions. A short client agreement is enough.
  2. Choose full payment or a plan: pay in full, often with a small discount, or pay in equal monthly instalments.
  3. Invoice before the first session: send the full invoice or the first instalment invoice before you start.
  4. Number the instalments: label each one "payment 1 of 3", "payment 2 of 3" and so on.
  5. Record payments as they arrive: use the amount paid field so the balance stays correct.
  6. Close out the package: when the last session is done, send a short note and, if appropriate, a renewal proposal.

Our guide to partial payment invoices shows several ways to present instalments. Separate invoices per instalment are usually easier to track and chase than one invoice with a long schedule in the notes.

Sample life coach invoice walk-through

Here is an illustrative example. A coach sells a 12-session package at $150 per session, which is $1,800, and adds a personality assessment at $60. Because the client chose the package up front, the coach gives a fixed $180 package discount. The client pays in three equal monthly instalments. In this example the coach is not required to charge sales tax or VAT. The prices are illustrative only.

DescriptionQtyRateAmount
Life coaching package, 12 x 60-min sessions, Nov 2026 to Jan 20271$1,800.00$1,800.00
Personality assessment and debrief report1$60.00$60.00
Subtotal$1,860.00
Package discount-$180.00
Total package price$1,680.00
Payment 1 of 3, due 1 Nov 2026$560.00

The arithmetic: $1,800 + $60 = $1,860, less the $180 discount, gives $1,680. Split into three equal payments, that is $560 per month. The first invoice can show the full package and $560 due now, with the remaining two payments of $560 listed in the notes. When the first payment arrives, record it as amount paid and the balance shows $1,120.

To build it in our generator:

  1. Open the invoice generator and choose your country preset, such as the UK invoice generator if you coach from Britain.
  2. Add your logo, name and contact details.
  3. Enter the client details, invoice number, date and due date.
  4. Add the package and the assessment as line items.
  5. Set the discount to a fixed $180. The generator applies it to the subtotal.
  6. Leave tax at zero unless you are registered or your service is taxable.
  7. Add notes with the instalment schedule, your cancellation policy and payment details, then download the PDF.

If you collect instalments by card through a payment link, check our sibling guide to Stripe fees so processing costs do not quietly eat into each payment.

Calm, modern designs suit coaching brands. The nordic invoice template and the emerald template both look professional without feeling corporate.

Billing employers and corporate coaching clients

Many coaches work with clients whose employer pays, either for one person or for a group. Corporate billing is more formal than billing individuals, and getting the paperwork right is often what gets you paid on time:

  • Purchase order: large organisations often cannot pay an invoice without a PO number. Ask for it before the first session and print it on every invoice.
  • Supplier setup: expect forms for your tax details, bank details and insurance before you can be paid. In the US this usually includes a Form W-9.
  • Billing contact: address the invoice to the person or department named in the contract, not the coachee, and copy the accounts payable inbox if asked.
  • Payment terms: net 30 is common for organisations. Price the engagement knowing you will wait for the money.
  • One invoice per coachee or per cohort: agree which the client prefers. Per-coachee invoices make cost-centre allocation easier, while cohort invoices reduce paperwork.

Keep session content off the invoice

Coaching is confidential, and invoices are seen by people who should not know what was discussed. Describe the service in neutral terms, such as "Leadership coaching, 6 sessions, October 2026" or "Life coaching package, session 4 of 12", and never mention topics, goals or personal circumstances. This matters even more when an employer pays, because the invoice may be circulated through finance, procurement and line managers.

The same principle applies to individual clients who share an email account or pay from a joint card. A neutral description protects their privacy and your professional reputation.

Group programs and workshops

If you run group coaching or workshops, bill each participant a fixed program fee, or bill the organisation one fee for the cohort with the number of participants in the description. Our generator handles both: one line with a quantity of participants and a per-person rate, or a single flat line for the whole program.

Cancellations, missed sessions and refunds

Missed sessions cause more coaching disputes than prices do. Write your policy into the agreement and repeat it in one line on the invoice, for example "Sessions cancelled with less than 24 hours notice are forfeited." Common approaches include:

  • Reschedule window: sessions can be moved with enough notice at no cost.
  • Forfeit rule: late cancellations and no-shows count as a used session.
  • Package expiry: unused sessions expire a set time after the package ends.
  • Refunds: state whether unused sessions are refundable and on what terms, keeping within local consumer law.

If you issue a refund or reduce a package, record it with a credit note rather than editing an invoice you have already sent.

Tax and records for coaches

In most US states, personal coaching is not subject to sales tax, though rules differ and some states tax a broader range of services. If you are self-employed in the US, you may also need to make estimated tax payments; see our guide to quarterly estimated taxes for freelancers. In the UK, VAT applies once your taxable turnover passes the registration threshold. Once packages are paid, decide how much to draw from the business; our sibling guide on how to pay yourself as a business owner compares owner's draw and salary. Clients paying through an employer may ask for a W-9 or similar; our W-9 and 1099 guide explains the US forms. This is general information, not tax advice.

The same billing principles apply to other one-to-one services. Our consulting invoice template covers project-based advisory work, and the personal trainer invoice template shows how trainers bill session packs.

Common coaching invoice mistakes

  • No session count or period. "Coaching, $1,680" does not tell the client what they bought.
  • Starting before payment. Invoice and collect the first payment before session one.
  • Unnumbered instalments. Label each instalment so neither side loses track.
  • No written cancellation policy. Without one, every missed session is a negotiation.
  • Editing sent invoices. Use a credit note or a new invoice instead.
  • Underpricing to win clients. Our guide on how to set freelance rates walks through pricing from your costs and target income.

Create your coaching invoice

A good coaching invoice template makes the package, the sessions, the discount and the payment schedule obvious, so your client can focus on the work rather than the paperwork. Frequently asked questions

What should a coaching invoice include?

Include your name or business name, contact details and logo, the client's name, a unique invoice number and date, the package or session type, the number of sessions and the period they cover, the price, any discount, extras such as assessments or workbooks, tax if you are registered, any payment already received, the balance due, the due date and how to pay.

How much do life coaches charge per session in 2026?

Published 2026 coaching pricing guides commonly put US life coaching sessions at roughly $75 to $300, with newer coaches at the lower end and experienced or niche coaches above it. Executive and business coaches often charge more. Rates vary by credentials, niche, results and market, so treat these ranges as a rough guide and price from your own costs and positioning.

Should I bill coaching per session or as a package?

Many coaches now sell packages, such as twelve sessions over three months, because packages encourage commitment and give the coach predictable income. Per-session billing suits occasional clients and follow-up calls. If you sell packages, state the number of sessions, the time period and what happens to unused sessions, and show this on the coaching invoice.

Should I invoice coaching clients before or after sessions?

Most coaches bill in advance: the full package before the first session, or each instalment at the start of each month on a payment plan. Billing in advance reduces no-shows and late payments. Single sessions can be paid when booked. Whatever you choose, put the policy in your coaching agreement and print the due date on every invoice.

How do I show a payment plan on a coaching invoice?

Either issue one invoice for the full package showing the total and the instalment schedule in the notes, or issue a separate invoice for each instalment, such as Coaching package, payment 1 of 3. Separate invoices are easier to track and chase. Each invoice should state the package, the instalment number, the amount and its due date.

Do life coaches charge sales tax or VAT?

In most US states, personal coaching is not subject to sales tax, but a few states tax a wider range of services, so check your state rules. In the UK, coaches charge VAT only once they are VAT-registered, and in the EU and elsewhere other rules apply. This is general information, so confirm with a qualified tax adviser before adding tax.

How should I handle missed coaching sessions on an invoice?

Set the rule in your coaching agreement, for example sessions cancelled with less than 24 hours notice are forfeited, and apply it consistently. If a missed session is forfeited, note it on the next invoice or session log. If you allow a reschedule, nothing changes on the invoice. Clear rules avoid awkward conversations and refund requests.

Can I use a free invoice generator for coaching invoices?

Yes. A free online invoice generator lets you add your logo, list packages and sessions, apply a discount and one tax rate, record amounts already paid and download a PDF. It does not take card payments or schedule sessions, so you collect payment with your own payment link or bank details and keep your session calendar in a separate tool.
