Rent Receipt Template: What to Include (Free Format)
Use this rent receipt template to record every rent payment: the fields to include, a filled sample with partial payment math, and when landlords must give one.
Quick answer: A rent receipt template is a reusable form that confirms a tenant paid rent. It should show a receipt number, the payment date, tenant name, property address, the rental period covered, the amount received, the payment method, any balance still owed, and the landlord's or agent's signature.
Rent is usually the largest bill a tenant pays, and disputes about it are some of the hardest to untangle months later. Was the March rent paid in full? Did the cash handed over on the 3rd cover the late fee too? A simple, consistent rent receipt template answers those questions in seconds. This guide explains what a rent receipt is, lists every field to include, gives a filled sample with partial-payment arithmetic, and covers the places where a receipt is required by law.
What is a rent receipt?
A rent receipt is a written record, issued by the landlord or property manager, confirming that a specific amount of rent was received for a specific period. It is proof of payment for the tenant and a bookkeeping record for the landlord. It does not replace the lease, which sets the rent, due date and other terms, and it is different from a request for payment.
If you bill tenants before they pay, for example commercial tenants or tenants with variable utility charges, that request is a rent invoice. Our guide to the rent invoice template for landlords covers that document. The receipt comes afterward. For the general difference between the two documents, see invoice vs receipt explained.
Tenants use rent receipts to prove payment history when applying for a new rental, to settle deposit disputes, and in some countries to claim tax benefits such as house rent allowance. Landlords use them to reconcile rent collected against bank deposits and to document income for tax returns.
What to include in a rent receipt template
A good rent receipt template has the same fields every month, so nothing gets missed when you are in a hurry. The table below lists the fields most landlords use and why each one matters.
| Field | Example | Why it matters |
|---|---|---|
| Receipt number | RR-2026-031 | Unique reference for both parties; makes gaps or duplicates obvious |
| Date received | 3 November 2026 | Shows whether rent was on time and starts any late-fee clock |
| Tenant name | Maria Lopez | Identifies who paid; add the payer's name if someone else paid |
| Property address and unit | 48 Elm Street, Apt 2B | Essential if you own more than one unit |
| Rental period covered | 1–30 November 2026 | Ties the money to a specific month, not just a date |
| Amount received | $1,450.00 | Write it in figures; some landlords also write it in words |
| Payment method | Cash, check no. 1042, bank transfer | Helps match the receipt to a deposit or bank line |
| Breakdown of charges | Rent, late fee, parking, utilities | Shows what the payment covered when it is more than rent |
| Balance due | $0.00 or $500.00 | Prevents arguments about partial payments |
| Received by | Name, title and signature | Authenticates the receipt; some laws require it |
Number receipts in sequence and never reuse a number. If you want a quick, consistent scheme, the invoice number generator works just as well for receipt numbers such as RR-2026-001.
Free rent receipt format you can copy
You do not need special software. Copy this layout into a word processor or spreadsheet and save it as your template:
- RENT RECEIPT (heading), receipt no., date received
- Received from: tenant name (and payer name if different)
- Property: street address, unit number, city
- For the period: start date to end date
- Charges paid: rent, fees, utilities, each with an amount
- Total received: amount in figures, optionally in words
- Payment method: cash, check number, transfer reference
- Balance remaining: amount and the date it is due
- Received by: landlord or agent name, title, signature, contact details
- Notes: payment plan reference, deposit details or other terms
Keep the design plain: one clear heading, labels on the left, amounts aligned on the right. If you want help with layout choices, our design and template guides cover spacing, fonts and alignment.
Filled rent receipt sample with a partial payment
Here is an illustrative example. The tenant owes November rent of $1,450 plus a $50 late fee under the lease, and pays $1,000 in cash on 6 November.
| Item | Amount |
|---|---|
| November 2026 rent, 48 Elm Street, Apt 2B | $1,450.00 |
| Late fee (per lease clause 4) | $50.00 |
| Total due for the period | $1,500.00 |
| Received 6 November 2026 (cash) | $1,000.00 |
| Balance remaining | $500.00 |
The arithmetic is simple: $1,450 + $50 = $1,500 owed; $1,500 − $1,000 = $500 still due. The receipt should state how the $1,000 was applied (for example, to the late fee first and then to rent, if that is what your lease says) and when the $500 balance is due. When the tenant pays the remaining $500, issue a second receipt, numbered RR-2026-032, showing a balance of $0.00.
If you agree a formal schedule for the balance, put it in writing. Our guide to a payment plan agreement explains what to include so the receipt can simply reference it.
Are landlords required to give a rent receipt?
Rules differ by country, state and city, so treat this section as a starting point and check the current rule where your property is located.
- New York. Under New York Real Property Law section 235-e, a landlord must give a written receipt when rent is paid in cash, by money order or by any instrument other than the tenant's personal check. The receipt must show the date, the amount, the premises, the period covered and the signature and title of the person who received it. Tenants paying by personal check can request receipts in writing, and landlords must keep records of cash receipts for at least three years.
- Other US states and cities. Some require receipts for cash rent; many have no general requirement. Your state or city housing agency usually publishes a landlord and tenant guide.
- India. Salaried tenants often submit rent receipts to claim house rent allowance. A revenue stamp is generally needed on a receipt for a cash payment above Rs 5,000, and the employer may ask for the landlord's PAN when annual rent exceeds Rs 1,00,000. Check your employer's and state's current requirements.
- UK and elsewhere. Where rent is paid weekly, landlords in England must provide a rent book; otherwise receipts are good practice rather than a general legal duty. Confirm with the relevant housing authority.
Even where a receipt is optional, issuing one costs a few minutes and can save hours in a deposit or eviction dispute.
Cash, check or transfer: how the payment method changes the receipt
Cash is the payment method that most needs a receipt, because there is no bank trail. Count the money in front of the tenant, write the receipt immediately and give them a signed copy. Record the cash in a register the same day; the habits in our petty cash log guide apply equally to rent collected in cash.
Checks and money orders should be identified by number on the receipt. If a check later bounces, note on your copy that the receipt is void for that payment and issue a new receipt when the rent is actually paid.
Bank transfers and online payments leave a record, but the receipt still adds the rental period and the balance. Quote the transfer reference so the receipt and the bank line can be matched.
How to number, send and store rent receipts
- Use one sequence per property or per landlord, with the year in the number.
- Issue the receipt on the day payment arrives, not at the end of the month.
- Send it in a form the tenant can keep: a signed paper copy, an emailed PDF or both.
- Save your copy in a folder per property and year, named by receipt number and month.
- Match each receipt to the bank deposit or cash register entry at month-end.
- Keep receipts at least as long as the tax records they support; see how long to keep invoices and business records for typical retention periods.
Can you make a rent receipt in our invoice generator?
Our free invoice generator creates invoices, and the document heading is fixed as "Invoice", so it is not a dedicated receipt tool. What it can do is produce a paid rent invoice: list the rent and fees as line items, enter the payment in the "Amount already paid" field so the PDF shows the balance due, and add a "PAID" watermark. Some landlords send that as a combined invoice and payment record. If you or your tenant need a document titled "Rent Receipt", for example for an allowance claim, use a word processor template with the fields above. A clean layout such as the minimal invoice template is a good visual model to copy.
Common mistakes on rent receipts
- No rental period. A receipt that says "rent received, $1,450" without the month is weak evidence of which rent was paid.
- Writing "paid in full" on a partial payment. Always show the balance, even if it is zero.
- Mixing deposits and rent. Security deposits often have separate legal rules; record them on a separate line or a separate receipt.
- Unsigned receipts. A signature, name and title make the receipt harder to dispute.
- Reusing or skipping numbers. Gaps make your records look unreliable in an audit or court.
- No copy kept. The tenant's copy proves their payment; your copy proves your income records.
Rent receipt checklist
- Unique receipt number in sequence
- Date payment was received
- Tenant name, and payer name if different
- Property address and unit
- Rental period covered
- Each charge paid, with amounts
- Total received and payment method or reference
- Balance remaining and its due date
- Name, title and signature of the person who received the money
- Copy saved and matched to your bank or cash record
Once your rent receipt template is set up, each receipt takes a minute to fill in. For other payments your business receives, the general payment receipt template follows the same logic.
Frequently asked questions
What should a rent receipt include?
At minimum: a receipt number, the date the payment was received, the tenant's name, the rental property address and unit, the rental period the payment covers, the amount received, the payment method and the name and signature of the landlord or agent who received it. If the tenant still owes money, show the balance due. Some jurisdictions require specific items, so check your local landlord and tenant rules.
Are landlords legally required to give rent receipts?
It depends on where the property is. Some places require a receipt for certain payments. New York, for example, requires a written receipt when rent is paid in cash or by any method other than the tenant's personal check, and on request for personal checks. Many other places have no general rule. Even where it is optional, a receipt protects both sides if a payment is later disputed.
Can I write a rent receipt by hand?
Yes. A handwritten receipt from a carbon-copy receipt book is still common and is valid as a record as long as it contains the key details and is signed. Keep the duplicate copy. Typed or digital receipts are easier to read, search and store, so many landlords switch to a template once they manage more than one or two units.
Is a bank statement enough instead of a rent receipt?
A bank statement proves money moved from one account to another, but it usually does not show which rental period or which charges the payment covered. That gap matters when a tenant pays late, pays part of the rent or pays fees at the same time. A receipt ties the payment to a specific period and balance, so most landlords issue one even for electronic payments.
What is the difference between a rent invoice and a rent receipt?
A rent invoice asks for payment: it lists what is due, by when and how to pay. A rent receipt confirms that payment was received: it states what was paid, on what date and what balance remains. Landlords who bill commercial tenants often send an invoice first and a receipt after payment. Residential landlords often skip the invoice and only issue receipts.
Should I give a receipt for a partial rent payment?
Yes. Record the exact amount received, the period it applies to and the remaining balance, and keep a copy. Whether accepting partial rent affects an eviction or a late notice depends on local law and your lease, so if you are in a dispute with the tenant, get local legal advice before accepting a partial payment or writing conditions on the receipt.
Do rent receipts in India need a revenue stamp?
Under the Indian Stamp Act, a revenue stamp is generally required on a receipt for a cash payment above Rs 5,000. Rent paid by bank transfer or check usually does not need one. Tenants claiming house rent allowance may also need the landlord's PAN when annual rent exceeds Rs 1,00,000. State stamp rules can differ, so check the current rule in your state.
How long should a landlord keep copies of rent receipts?
Keep them at least as long as your tax records for the year, and longer if the tenancy or a dispute is ongoing. New York, for example, requires landlords to keep records of cash rent receipts for at least three years. Many landlords keep every receipt for the full tenancy plus several years, stored as PDFs organized by property and month.
