Salary Slip Format: Payslip Components with Example
A clear salary slip format with each payslip component explained: gross pay, allowances, deductions and net pay, with examples for Pakistan, India and the US.
Quick answer: A standard salary slip format has four parts: employer and employee details, the pay period, earnings (basic salary, allowances, overtime and bonuses, totaling gross pay) and deductions (income tax, social security or provident fund, and other withholdings). Gross pay minus total deductions equals net pay, the amount actually paid to the employee.
A salary slip, or payslip, is often the only document an employee sees that explains how their pay was calculated. A clear format reduces payroll questions, helps employees apply for loans and leases, and gives the employer a tidy record for audits. This guide breaks down every payslip component, gives a salary slip format you can copy, and works through three examples with arithmetic: a Pakistan payslip, an Indian payslip and a US pay stub. Statutory rates change, so treat the figures as illustrations and check current rules before running payroll.
What is a salary slip?
A salary slip is a statement an employer issues to an employee for each pay period, usually monthly in South Asia and the Middle East and weekly, biweekly or semi-monthly in the US. Names vary: salary slip and pay slip are common in Pakistan, India and the UK; pay stub, paystub or earnings statement in the US.
It differs from documents freelancers use. An employee receives a salary slip; an independent contractor sends an invoice. If you are on the contractor side, see how to invoice as an independent contractor instead.
Salary slip format: the standard layout
| Section | What it contains |
|---|---|
| Header | Employer name, address, logo, tax or registration numbers; "Salary Slip for [Month Year]" |
| Employee details | Name, employee ID, designation, department, date of joining, tax ID (NTN, PAN or last digits of SSN), bank account (masked) |
| Pay period details | Period start and end, pay date, days in period, days worked, leave taken, loss-of-pay days |
| Earnings | Basic salary, house rent allowance, medical, conveyance or transport, special allowance, overtime, bonus, commission |
| Deductions | Income tax withholding, social security or provident fund, insurance, loan recovery, advances, other |
| Totals | Gross earnings, total deductions, net pay in figures and words |
| Year-to-date (optional) | Cumulative gross, tax and net pay for the tax year |
| Footer | Employer contributions (for information), a note that it is computer-generated or a signature, contact for payroll queries |
Earnings and deductions are usually shown side by side in two columns, which makes the slip easy to scan. Include the period's working days and paid days, because unpaid leave changes gross pay and is a common source of questions.
Payslip components explained
Earnings
- Basic salary. The fixed core of pay. Many statutory contributions, such as provident fund, are calculated on it, so it matters beyond its face value.
- House rent allowance (HRA). Common in Pakistan and India. Tax treatment depends on local rules; in India, part of HRA may be exempt for employees who pay rent and keep rent receipts.
- Medical, conveyance and other allowances. Fixed monthly amounts; their tax treatment varies by country and by year.
- Special or other allowance. Often a balancing figure that brings the package up to the agreed total.
- Overtime. Extra pay for hours beyond the standard schedule, usually calculated from a timesheet or attendance record.
- Bonus, commission and arrears. Variable or one-off amounts, including back pay after a raise.
Deductions
- Income tax withholding. Tax the employer deducts and pays to the tax authority on the employee's behalf.
- Social security and retirement contributions. EOBI in Pakistan, EPF in India, Social Security and Medicare in the US.
- Voluntary deductions. Retirement plan contributions, health insurance premiums, loan repayments, advances.
- Loss of pay. Deduction for unpaid leave, sometimes shown as reduced earnings instead.
Net pay = gross earnings − total deductions. That is the figure transferred to the employee's bank account.
Example 1: Pakistan salary slip
Illustrative monthly payslip for a Lahore-based employee. All figures are examples; calculate income tax using the current FBR salaried slabs and confirm the current minimum wage and EOBI rate before using these lines.
| Earnings | PKR | Deductions | PKR |
|---|---|---|---|
| Basic salary | 60,000 | Income tax withheld (illustrative) | 2,500 |
| House rent allowance | 27,000 | EOBI employee share | 400 |
| Medical allowance | 6,000 | Provident fund (employee) | 5,000 |
| Conveyance allowance | 7,000 | Loan recovery | 3,000 |
| Gross earnings | 100,000 | Total deductions | 10,900 |
Gross: 60,000 + 27,000 + 6,000 + 7,000 = 100,000. Deductions: 2,500 + 400 + 5,000 + 3,000 = 10,900. Net pay: 100,000 − 10,900 = PKR 89,100. The EOBI line assumes the commonly cited employee rate of 1% of a PKR 40,000 minimum wage; the employer's larger share, commonly 5%, is a cost to the employer and is not deducted from the employee. Employers should show their NTN on the slip, and employees can quote their own NTN when filing returns; see how to get an NTN in Pakistan.
Example 2: India salary slip
Illustrative monthly payslip for an employee in a state that levies professional tax. Check the current EPF wage ceiling, your state's professional tax slab and the employee's chosen tax regime.
| Earnings | INR | Deductions | INR |
|---|---|---|---|
| Basic salary | 30,000 | Employee provident fund (12% of basic) | 3,600 |
| House rent allowance | 12,000 | Professional tax (state slab, illustrative) | 200 |
| Special allowance | 13,000 | Income tax (TDS, illustrative) | 2,500 |
| Gross earnings | 55,000 | Total deductions | 6,300 |
Gross: 30,000 + 12,000 + 13,000 = 55,000. EPF: 12% × 30,000 = 3,600. Deductions: 3,600 + 200 + 2,500 = 6,300. Net pay: 55,000 − 6,300 = INR 48,700. Some employers calculate EPF on wages capped at the statutory ceiling rather than on full basic pay, which would lower the EPF line. Professional tax is set by each state, and the Constitution caps the total at Rs 2,500 per person per year.
Example 3: US pay stub
Illustrative biweekly pay stub. Federal and state income tax withholding depend on the employee's Form W-4, state forms and pay; the figures below are placeholders.
| Line | Current period |
|---|---|
| Regular pay: 80 hours × $30.00 | $2,400.00 |
| 401(k) contribution, 5% (pre-tax) | −$120.00 |
| Social Security, 6.2% of $2,400 | −$148.80 |
| Medicare, 1.45% of $2,400 | −$34.80 |
| Federal income tax withholding (illustrative) | −$210.00 |
| State income tax withholding (illustrative) | −$96.00 |
| Net pay | $1,790.40 |
The arithmetic: 80 × $30 = $2,400 gross. Deductions: $120 + $148.80 + $34.80 + $210 + $96 = $609.60. Net: $2,400 − $609.60 = $1,790.40. A traditional 401(k) contribution reduces wages subject to federal income tax but not wages subject to Social Security and Medicare, which is why FICA is calculated on the full $2,400. For 2026, the Social Security wage base is $184,500; above that, the 6.2% stops for the rest of the year, while Medicare continues and an extra 0.9% is withheld on wages over $200,000. The IRS explains these rules in Publication 15 (Circular E), Employer's Tax Guide.
US federal law does not require employers to provide pay stubs, but the Fair Labor Standards Act requires payroll records, and many states require an itemized wage statement with specific contents. Check your state labor department's rules. Self-employed people do not get pay stubs at all and pay both halves of these taxes through self-employment tax.
Salary slip vs offer letter vs salary certificate
Three payroll documents are often confused. An offer letter or employment contract states the agreed package, often as an annual cost to company. A salary slip shows what was actually earned, deducted and paid for one period. A salary certificate is a one-off letter, usually requested for a bank or embassy, confirming employment and current salary. Lenders typically ask for the last three to six salary slips because they show real, recent pay rather than the headline package.
How to prepare a salary slip each month
- Confirm the pay period, working days and any unpaid leave from attendance or timesheet records.
- Calculate each earning component, prorating for joiners, leavers and unpaid days.
- Add overtime, bonuses and arrears; if a raise took effect mid-period, work out the arrears carefully, and see how to calculate a salary increase percentage for the math.
- Calculate statutory deductions using current rates and ceilings.
- Add voluntary deductions authorized by the employee in writing.
- Compute gross, total deductions and net pay, and cross-check totals against the payroll register and bank transfer file.
- Issue the slip securely, for example as a password-protected PDF, and keep a copy with payroll records.
Can you make a salary slip in our invoice generator?
No, and you should not try. Our invoice generator is built for billing customers: the heading is fixed as "Invoice", tax is added to the total rather than withheld, and there are no fields for allowances or statutory deductions. Use payroll software, a spreadsheet laid out like the tables above, or a template from your accountant. Where the generator does help is on the other side of the relationship: if you pay contractors rather than employees, they invoice you, and contractors in Pakistan can use the Pakistan invoice generator with NTN and STRN fields.
Common salary slip mistakes
- Arithmetic that does not reconcile. Gross minus deductions must equal the amount actually transferred.
- Outdated rates or ceilings. Tax slabs, minimum wages, contribution rates and wage bases change, often annually.
- Missing pay period or paid days. Employees cannot check prorated pay without them.
- Full bank or ID numbers. Mask them; payslips get emailed, printed and shared with lenders.
- Unauthorized deductions. Many jurisdictions restrict deductions an employee has not agreed to in writing.
- Treating contractors as employees, or the reverse. The worker's status decides whether payroll and payslips apply.
- No year-to-date figures. Optional in many places, but they make year-end tax filing much easier.

Frequently asked questions
What is a salary slip?
A salary slip, also called a payslip or pay stub, is a document an employer gives an employee for each pay period. It shows the employee's earnings, such as basic salary and allowances, every deduction, such as income tax and social security contributions, and the net amount actually paid. Employees use it to check their pay and as proof of income for loans, rentals and visas.
What is the difference between gross salary and net salary?
Gross salary is the total earned before deductions: basic pay plus allowances, overtime and bonuses for the period. Net salary, or take-home pay, is what remains after deductions such as income tax withholding, social security or provident fund contributions and any loan repayments. For example, gross pay of 55,000 with 6,300 of deductions gives net pay of 48,700.
Is an employer required to give a salary slip?
It depends on the country and, in the US, the state. US federal law does not require pay stubs, but many states do, and the Fair Labor Standards Act requires employers to keep payroll records. In India and Pakistan, labor and wage rules require wage records and, in many cases, wage slips. Check the rules for your location and type of establishment.
What deductions appear on a payslip in India?
Common deductions are the employee's provident fund contribution, typically 12% of basic wages under EPF rules, professional tax where the state levies it, capped at Rs 2,500 a year by the Constitution, income tax deducted at source, and in some cases ESI. Voluntary deductions such as loan repayments or canteen charges may also appear. Check the current EPF wage ceiling and your state's professional tax slabs.
What deductions appear on a payslip in Pakistan?
Typical deductions are income tax withheld on salary using FBR's annual salaried slabs, the employee's EOBI contribution, commonly 1% of the minimum wage, provincial social security where applicable, provident fund contributions if the employer runs a fund, and loan or advance recoveries. Rates and the minimum wage are revised in budgets, so check the current figures before preparing payslips.
What do FICA, Social Security and Medicare mean on a US pay stub?
FICA is the federal payroll tax that funds Social Security and Medicare. Employees pay 6.2% Social Security tax on wages up to the annual wage base, $184,500 for 2026, and 1.45% Medicare tax on all wages. Employers withhold an extra 0.9% Additional Medicare Tax on wages above $200,000 in a year. Employers pay a matching 6.2% and 1.45%.
Can a freelancer issue a salary slip?
No. A salary slip documents wages paid by an employer to an employee through payroll. Freelancers and independent contractors are paid against invoices, and they handle their own taxes. If you need proof of income as a freelancer, use your invoices, bank statements, tax returns and, in the US, Forms 1099 from clients. Issuing yourself a payslip could mislead a lender.
Can I make a salary slip with an invoice generator?
Not properly. An invoice generator, including ours, is built to bill customers: its heading is fixed as Invoice and it calculates totals by adding tax, not by subtracting payroll deductions. Use payroll software, your accountant's template or a spreadsheet laid out in the format shown in this guide, and keep each slip with your payroll records.
